Trying to work out how to ask people as got a big list (rugby, work, mates etc) ..and dont want anyone to feel that not asked them but dont want the group to get too big.... Like steering an oil tanker, the bigger the size of the group, the longer it will take to go anywhere or do anything. The golden rule for this is to keep it simple. Do a maximum of one 'thing' per day, and get them to organise themselves as far as possible. If you know the dates, lead from the front. Find a centrally-located mid-range hotel and book a room for you and two of your besties. Do the same for flights. Then let everyone else know where you have booked and when, and get them to do the donkeywork if they want to join you. If they want to share taxis and whatnot, leave it up to them. If you want to do a trip out to the countryside/the lake find a host to organise the logistics (pick-up and drop-off) and price. ph5172 Posted October 4, 2016 Report Share Posted October 4, 2016 (edited) I have done a few of these and i always find this works best - Use a company that does the package (as in organises a few 'events' and the hotel / club entry) most allow you to create your own package (and price) - they will also administer the payment by issuing reminders and the like, this can save you a lot of time and agro, basically they pay the deposit and they than have x amount of time to pay in full (or by installments) if they dont meet the deadline the system will drop them - you add the members, E-Mails and mobile numbers and the system does the rest It is handy as you can also see when they logged in and if they have paid any money - I then set up an E-Mail group that allows me to say the auto invites are out - message me if you don't receive the invite. it also allows for chasing and reminders. If people drop out or miss the deadline i remove them from the group - I set up a basic itinerary (as in arrive X airport and catch organised transport to X hotel, Change and out for drinks at X and onto dinner at Y) this allows any late comers to have a rough idea where you are - Set up a whatsapp group so you can update as the evening goes along with locations Dont plan a massive event or VIP nightclub entry for the first evening as people will be late and others too jaffed to get in / have a clue whats happening Get an extra £20 of each member into a paypal account as you will have to leave a deposit at most hotels and you dont want to be the one putting it on your credit card Oh and as for time - if its abroad i would aim for 6 months. I have just come back from one where the weekend was £145, 6 months out the flights were £155 and 2 weeks before some lads were paying £350 - we had 3 drop out based on this. Ollieollie Posted October 4, 2016 Report Share Posted October 4, 2016 I have been best man twice, organising the stag is easy, as mentioned use a stag do company! takes all the hassle out of it and the payment system is perfect. You wont end up paying the little bits here and there yourself. I never worried too much about an itinerary as trying to wrangle a mob of swilled up blokes who have a ticket for the weekend(that little extra swilled up) is near impossible. They have just informed me that the apartments we booked don't take stag dos,,,.. And I need to contact them '. So got a few choices.... Say its a birthday party instead.... Tell them forget it as no notice at time of booking and for them to offer a goodwill and somewhere else on the same basis and price Just suck it up.. Good luck I have made a "core" booking of people that I "know" wont back out...I already have their money and said clear that its none refundable .... Travel Repub have said its ut of their hands as its the hotel that has asked.... other places have come up but more expensive and a little out of the way...
